Office Assistant – Port Jefferson, NY

What is the role:

This is a full-time non-exempt, hourly position based in Port Jefferson, NY. Employees will perform a full range of office support assignments, to include but not limited to: filing, processing, answering phones, data entry, frequent customer interaction and customer service, and assisting the office manager with whatever they may need.

Specific Responsibilities/functions:

  • Perform day-to-day administrative tasks such as maintaining information files and database systems and processing paperwork.
  • Receive and respond to inquiries by providing instructions or other general information or referring such inquiries to the appropriate people. Retrieve records associated with requests or inquiries, and route to proper people.
  • Enter data accurately into spreadsheets and/or company software.
  • Enter, retrieve, update, verify, and delete information from manual and electronic files.
  • Retrieve and compile data and prepare reports.
  • Provide documents/information to customers, salespeople, and managers on request as needed.
  • Operate standard office equipment, such as photocopiers and scanners, facsimile machines, postage machines, voice mail systems, and desktop computers.
  • Answer telephones, direct calls, and take messages. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information.
  • Perform related work as assigned.

We need you to have:

  • Knowledge of general office practices, and ability to operate standard office equipment.
  • Knowledge of administrative and clerical procedures and systems such as Microsoft Suite, managing files and records, etc.
  • Strong organization and detailed oriented skills.
  • Proficient typing skills – ability to type while information is being dictated at a fast pace and for data entry purposes.
  • Ability to compare data from a variety of sources for accuracy, completeness, grammar, and format.
  • Ability to perform basic mathematical calculations.
  • Ability to follow, apply, interpret, and explain instructions and/or guidelines.
  • Ability to determine work priorities and work independently.
  • Ability to meet schedules and deadlines of the work area.
  • Ability to communicate effectively and compose routine correspondence and reports.
  • Ability to multitask and function in often changing, busy office environment.
  • Must be cooperative and able to work as part of a team.
  • Strong customer service skills.
  • 2+ year general office experience.
  • Strong Computer skills including working with teams, Adobe, and Microsoft.
  • Experience and skills with Excel spreadsheets.

Schedule:

  • Day shift - Monday to Friday
  • Some weekend availability required

Physical Requirements

The position requires the ability to sit and work at a computer for extended periods, occasionally lift up to 20 lbs, move throughout an office environment, use of hands and visual acuity to read documents and screens.

Hourly Rate: $23.00-$30.00 - based on experience
